Your project

To complete the assessment, you will use the supplied case study project (based on the Tsunami Group simulated business) as the basis for your responses. 

Task 1 Project Time Management

  1. Develop and submit a work-breakdown structure and a related project schedule for the case study project. Include a clear indication of the project’s critical path. The schedule should be presented as a Gantt chart created in the project management software of your choice (consider the software programs you analysed in question 1.8)
  2. Describe the process you undertook to create the schedule making sure to address the following in your response: 
    • Describe the processes, techniques, and tools you used to estimate duration and effort, and determine the sequencing and dependencies of tasks. Include details of who you would have involved in this process, and any applicable policies and procedures. Briefly explain why these were appropriate for this project (50-100 words)
    • Describe how you would seek approval for this schedule baseline, and how you would communicate this to stakeholders. (25-50 words)
  3. Describe how you would monitor, measure, and report progress on this project against the approved schedule. Include details of any milestones you would establish, and the frequency of monitoring and reporting. (50-100 words)
  4. One day after you have lodged the order with the New Zealand supplier of the PIFDs, they advise you that they will be 1 week behind schedule in delivery of the first order of PIFDs.
    • Describe the potential impact of this delay on your project. (25-50 words)
    • Adjust your schedule to accommodate this change and retain this as a revised version.

Task 2 Project Cost Management

  1. Develop and submit a time-phased budget and a related cost management plan for your project.
  2. Describe the process you undertook to create the project cost management plan and budget. making sure to address the following in your response:
    • Describe how you would seek approval for this cost baseline, and how you would communicate this to stakeholders. (25-50 words)

Task 3 Project Quality Management

  1. Develop and submit a quality management plan for your project. Make sure to include quality requirements and appropriate quality assurance and quality control processes.
  2. Describe the process you undertook to decide the quality requirements for the project making sure to address the following in your response:
    • Describe the process you would use to gain approval or agreement for the quality baseline, and how you would communicate these quality requirements to stakeholders. (25-50 words)
    • Describe the process, techniques, and tools you used to determine the quality requirements for the project, including details about who you would involve and any applicable policies and procedures. Briefly explain why these were appropriate for this project (50-100 words)
  3. Describe how project activities will be monitored and measured, to ensure they comply with the agreed quality criteria. Include details about how these criteria were used as a basis for performance management. (50-100 words)

Task 4 Project Procurement Management

  1. Develop and submit a procurement management plan for your project.
  2. Describe the process you undertook to determine the procurement requirements and processes; making sure to address the following in your response:
    • Describe the process, techniques, and tools you used, including details about who you would involve and any applicable policies and procedures. Briefly explain why these were appropriate for this project (25-50 words)
    • Describe how you chose one supplier/contractor, including what selection criteria you established, and how you obtained information from potential suppliers. (25-50 words)
    • Who was required to sign off on the procurement process to be used?
  3. Explain the probity, project governance constraints and delegations related to procurement for this project. (15-25 words)
  4. Outline 5 contract conditions you would apply for one of the supplier contracts you need to establish. Explain why each of these is important and the processes you would apply to negotiating these conditions to reach agreement. (25-50 words)
  5. Describe how you would monitor contractor performance during the project including information about who you would involve and timing of monitoring activities. (25-50 words)
  6. Identify and describe the procurement records that you will maintain during the project and how you will seek feedback from stakeholders on procurement activities. (50-100 words)
  7. The Tsunami retail outlet manager in Adelaide reports to you that the shelving & display units supplied and installed collapsed, injuring one of the staff who was stocking the shelves. It appears that it was installed incorrectly.
    Write an email to the contractor outlining the issue and recommending appropriate solutions and remedies.

Task 5 Implement and Monitor Project Resource Management

Propose and describe two (2) hypothetical instances where you became aware of an issue related to managing resources for your project. One (1) of these issues must be related to procurement.

For each issue/non-compliance, address the following questions:

  1. How would you have identified and communicated this issue? (15-25 words for each)
  2. What would be the potential impact of this issue on the project in terms of cost, quality, time, and procurement. You need to be specific as to impact. (25-50 words)
  3. What changes would you implement as a result? Please provide a rationale for your answer. (25-50 words)
  4. Prepare an email for the project sponsor outlining the 2 issues, their potential impact and how you intend to address the issues (including any proposed changes to schedule, budget, quality management processes and procurement processes)
  5. Submit documents to support your responses.

Task 6 Stakeholder Meeting

Purpose of assessment

For this assessment you will deliver a presentation and facilitate a meeting on its content. You will be assessed on your interaction and communication skills as well as your contributions to each of the meeting agenda items.

You will give your presentation at an AIM assessment workshop; this will be held online via webinar.

While participating in this assessment workshop you will also be required to act as a stakeholder for the other project managers that will be participating when they give their presentations. You will be assessed on your ability to provide feedback, ask relevant questions, and use appropriate communication.

Please note, your presentation will be recorded for assessment purposes.

Your assessor will be looking to see that you demonstrate:

  • clear communication
  • active listening and questioning to clarify understanding
  • collaboration and co-operation with others to achieve a shared goal

This means that you will need to discuss each agenda item with those present, not just provide your opinion.

  1. Create and deliver a 5-10 minute presentation to deliver to the group. Your presentation must cover the following:
    • Essential information about the project related to schedule, quality, cost, and procurement
    • Key considerations you feel are important for project stakeholders to be aware of, including how these aspects will be monitored and tracked.
    • Share your WBS, project schedule, quality and procurement management plans
  2. Provide a summary of how decisions were made and agreed to.

Task 7 Project Finalisation- Project Resource Management

So far you have planned and implemented the project schedule, quality, cost and procurement management plans for your project. Now that you have come to the end of the project, reflect on these aspects in relation to the project outcomes and respond to the following questions.

  1. What lessons learned from previous projects (available on the Tsunami website) did you take into consideration for this project? (25-50 words)
  2. Having completed the previous assessment tasks, made changes as requested, and having presented your project to a group and received feedback;
