Case Study:

You are employed as a Civil Construction Manager at XYZ Construction Company in Australia to manage the development of a road project. This is a new big size project to start in March 2023, and the maximum number of roles required for the technical team will be five (5). You are asked to identify the required roles for your team that can include:

  1. Civil engineer
  2. Surveyor.
  3. Project estimator
  4. Planner
  5. Civil supervisor

Your role involves managing those people of diverse cultural backgrounds and skill competency levels to facilitate the entire construction stage of the project.

XYZ has a goal to achieve a profit of 20% from this project compared to the previous year when their profit was 15% ($4,500,000.00) from this project which shall be completed in December 2023. Further, by completing this project, the company will be able to increase its portfolio to $15,000,000.00. Then the top management will be planning to hire more people in the work team.

To provide the team with future direction, it is requested that you create a team performance plan. Determine the team's expected performance levels. Describe the strategy to be used to achieve these performance levels. Give the group direction and guidance.

Assessment Task

1. High Performance

Performance categorised here are those that exceed expectations and baselines set by Ideal Performance (e.g., client feedback score of > 4 for each batch of fitness classes).
Each performance description must be SMART (Specific, Measurable, Attainable, Relevant and Time-bound)
Record the developed KPIs in the Key Performance Indicators (KPIs) section of the Team Performance Plan

2. Minutes Of Meeting

  1. Arrange a time to meet with two (2) of your team members to conduct the informal consultations.
  2. Conduct the informal consultations. During each consultation, you must do the following:
    • Discuss the following sections of the Team Performance Plan:
      • Individual Requirements
      • Individual KPIs
      • Team’s KPIs
    • Each team member must Identify at least one expected difficulty with any of the performance areas discussed based on the approved Team Performance Plan.
    • Discussion points can include, but are not limited to the following:
      • Aspects of their task they are not sure of.
      • Skills they feel they need to improve on to meet expected outcomes and goals.
    • Provide the team member with at least one advice on how they can address the expected difficulties.
    • Advice provided can include, but are not limited to the following:
      • Practices the team member can adopt when they perform their task.

3. Learning & Session Plan:

To complete a Team effectiveness Learning Plan, you must consider the areas of difficulties in the team and consider how formal learning opportunities can help to bypass them. Discuss at least four areas of difficulty that can occur in teams and briefly describe what Formal learning refers to and at least four ways in which these can be delivered.
A Session Plan is required for each formal learning opportunity you will facilitate. Provide a breakdown of the components of a Session Plan with a brief description.

4. Develop and Facilitate Team Cohesion:

Develop three strategies that will encourage team members to provide their input for any situation in the project.

5. Develop Processes for Performance Issues, Concerns, and Performance Problems.

A new graduate has joined the project team, and you realised that this new team member completes the tasks on time, but there is always a quality issue in his work.

  1. Is the previous scenario described as a performance issue, concern, or problem, and why?
  2. Provide at least two processes for identifying and addressing the previous performance.

6. Facilitate Teamwork

  1. Conduct a meeting with your team members.
    • Discuss a team activity you have identified for the team to do.
    • Complete the Action Plan by discussing the following with your team members:
      • At least one action item for each team member to do during the team activity.
      • Indicate the team member that is assigned to each action item.

7. Feedback.

Conduct the identified activity. During the activity, you must:

  1. Identify what was done well during the activity.
  2. Identify what was not done well during the activity and identify at least one suggestion for improvement.

8. Liaise with Stakeholders.

Conduct the meeting with the relevant internal stakeholders. During the meeting, you must discuss:

  1. Team’s actual results for the following requirements compared to the expected outcomes identified in the same sections in the Team Performance Plan:
    • Task Objectives
    • Expected Outcomes
    • Key Performance Indicators (KPIs)
