Overview
In this task you are required to manage program risk. This includes to direct planning of program risk management, manage program risk and assess program risk-management outcomes.
You will complete this task by:
- manage program risk on at least one occasion.
In the course of above, the candidate must:
direct the planning of program risk management, including:
- assessing and selecting risk methods to suit risk context
- directing identification, documentation and analysis of risks as basis for planning
- directing, supporting and mentoring project managers in analysing, evaluation and treatment of risks
- confirming risk management is transparent and timely
- developing and maintaining a risk management system across the program

- managing the program
- reviewing progress, analysing variance and initiating risk responses
- confirming risks are assigned and monitored across the program at agreed intervals
- assessing issues are for impact and remedial actions

Assessment conditions & context
This is an open book assessment. You may refer to their notes during this task. Part of this task is to be completed at an agreed time and date with your assessor and part is to be completed in your own time. This task will involve demonstration of apply WHS requirements, policies and procedures. Your assessor will observe your performance during part of this task. Submit the completed Assessment cover sheet to your assessor at the completion of this task.
Assessment criteria
For performance to be deemed satisfactory in this assessment task, you must satisfactory complete each part of the task. If part of this task is not satisfactorily completed, you will be asked to complete further assessment to demonstrate satisfactory performance.

You will be provided feedback on your performance by the Assessor. The feedback will indicate if you have satisfactorily addressed each part of the task requirements.

Scenario 1: Assume that the CEO has indicated that given his desire to grow the company and its overall program and associated projects, he wants you to prioritise treatment of a number of program risks as follows: Inability to attract sufficiently qualified staff One of the risks identified in the risk management plan is the inability to attract sufficiently qualified and knowledgeable staff to manage projects. The risk treatment identified is to invest in the training and development of existing staff to fulfil this role, at least in the short term. It has been identified that at least two existing staff members are interested in taking on this new role. Neither of the two project officers have project management skills nor knowledge, but they both have excellent company and product knowledge, as well as customer service skills. Unsustainable workplace Another risk identified in the risk management plan is increased costs to the business through inefficiencies in resources usage. Given that the business is set to expand, it is of key importance that resources are used sustainably and efficiently. The CEO wants to implement the risk treatment of measuring the companys environmental sustainability and resource usage, commencing with the head office location. Low client satisfaction A further risk identified as a priority is the any threat to client satisfaction. Given that the business wishes to expand client satisfaction will be crucial. The risk treatment identified is to develop a client questionnaire that can be used to measure client satisfaction. You have been directed to implement strategies to reduce the risks posed. |

Key projects
Leadership Conference
Grow Management Consultants provides Leadership Conference every year in October. this years Conference. Dan has been responsible for the Conference for the last two years. The speakers who are invited are industry and academic leaders who are well known and respected. Most of them rarely speak in public, which means that the Conference is always well attended. To date the conference has shown a small profit every year it has been run. However, we aim to create synergies between all of our key projects to increase the profits created by the conference. See below.
Workshops
Grow Management Consultants also offers regular professional development workshops on all aspects of leading and managing staff. The workshops are conducted every 3 months in Sydney, Brisbane and Melbourne, where they also double as networking events. The workshops are also offered to businesses, who run them for their management as part of their ongoing education programs. In 2019/20, the company ran a total of 36 workshops.
The workshops work very well as a source of advertising for the companys consultancy services, where most of Grow Management Consultants income is generated.
Again a small profit was made, however, we aim to create synergies between all of our key projects to increase the profits created by the workshops.
Ebooks
Grow Management Consultants has also produced an E-book Business Growth Leadership Techniques. The E-book has had reasonable sales, but these have been restricted to Conference and workshop attendees, where they have been well received. Several senior consultants have also expressed interest in writing an eBook in their area of expertise. The eBook was identified as a company asset that could generate more income with more effective marketing. The plan is to write three further Ebooks to be launched at the conference and workshops this year.
Appendix 2- Program Risk Management Plan
The program risk management plan will be used by the program manager and project managers to ensure risk control methods are included in all aspects of program management.
Definitions
The following definitions are based on the Australian and New Zealand Risk Management Standard AS/NZS 4360:2004.
Risk
The chance of something happening which will have an impact upon objectives. It is measured in terms of consequence and likelihood.
Likelihood
A qualitative description or synonym for probability or frequency.
Consequence
The outcome of an event or situation, expressed qualitatively or quantitatively, being a loss, injury, disadvantage or gain. There may be a range of possible outcomes associated with an event.
Risk assessment
The overall process of risk analysis and risk evaluation.
Risk treatment/control methods
Selection and implementation of appropriate options for dealing with risk.
Conceptually, treatment options will involve one or a combination of the following five strategies:
- Avoid the risk.
- Reduce the likelihood of occurrence.
- Reduce the consequences of occurrence.
- Transfer the risk.
- Retain/accept the risk.
Risk management process
The systematic application of management policies, procedures and practices to the tasks of establishing the context, identifying, analysing, evaluating, treating, monitoring and communicating risk.
Risk management procedure
This risk management plan template should be used. The following procedure should be followed for risk management:
- Gather information about potential risks and risk treatments or controls using a range of risk management tools and techniques.
- Confirm key risks and risk treatments or controls to be documented in the risk management plan. For each risk, indicate the consequence of the risk e.g. loss in sales, loss in profits, business closure, lack of qualified staff, etc.
- Identify key risks and document them in the risk register.
- Using the risk legend within the risk management plan, assess and document the likelihood of the risk occurring.
- Using the risk legend within the risk management plan, assess and document the severity of the risk occurring.
- Identify and document the agreed treatment or control method for each risk.
- Assign a ranking to the risk using the risk assessment legend. The ranking of the risk will determine its importance in terms of risk management.

Appendix 3 Feedback from stakeholders
Program feedback
As you are aware, this years Conference was a great success, selling out of tickets despite having 50% more capacity than in previous years
I am sure that your managing of the program as a whole helped with many aspects of the success. One example was the way Donna helped us out when one of the speakers was too ill to attend. She contacted one of our old co-workers who is now with PWC, and asked if they would fill the gap, and they did, with just two days notice. They turned out to be a great speaker and has inspired me to invite a Grow Management Consultants senior consultant to speak at the Conference each year.
Having a copy of our last-minute speakers book to give to each Conference attendee was just what the Conference bags needed. It seems that managers, while readily adopting digital technology, really appreciate a book that they can hold in their hand.
I must say that I was hesitant about joining the brainstorming session six months ago, as I thought that I had the Conference planning down pat and didnt want any interference. But it was great. I learned a lot about what the consultants are doing and what they are capable of. I now see the Conference as an extension of their work rather than something that runs parallel to it.
The weekly group emails were good, even though they were mostly very short. That was great because it meant that no-one had any issues

Program feedback
Bookings for next years workshops is strong, and we have moved to larger rooms at most of the venues to cope with this. The team is still in discussion over the best way to handle this: should we have more workshops? Can we run any more with the team as it is, or do we need to bring more consultants into the team? We will be discussing these issues at the next management meeting, and I will bring some figures to help us make the decisions. The workshops and our consultancy services are going so well that I have had to hire an assistant.
The inter-project communication system has proven to be very useful. We had such a positive reception at the Conference that I still have some referrals that I havent caught up on yet. It appears that many companies were not aware of the calibre of our consultants. To see one of our old colleagues speaking so well in front of a packed crowd has brought us more enquiries than we know what to do with it.
The weekly group emails were useful, but I must say that I was in daily email contact with Dan in the lead up to the conference, which you will be aware of, and you were CCd on each one, as you requested in your Program Communication Plan.

Program feedback
The eBooks project has, as you are aware, taken off as I predicted it would. Currently, six of our senior consultants have started writing, and one of them has completed her first draft. I had long suspected that many of our more experienced staff wanted to get published, and now I have proof.
Of course, there was some luck involved with me having our original eBook available in printed for available at the Conference. There was an unbelievably short 24-hour turn-around time from ordering to receiving the books. I know that the speaker was impressed, as were the attendees.
Dan and I are planning to have one in each years conference bag from now on. It looks as though one of our senior consultants will be speaking each year, and their freshly printed book will be available to all attendees.
As far as communication between the projects is concerned, you will be aware of the volume of emails that the program has generated between the projects, and you receive a copy of each one. The brainstorming session was great. It was the first chance I had to really put my ideas to Donna, and she liked them. It seems as though she used to think of me as someone who wanted to take her golden goose away. Now she knows that I can help her make her goose even bigger if we work together.
