Participant instructions
Aim:
During the course you are required to demonstrate the ability to influence management-level decision makers with a five-minute verbal presentation. This presentation task will provide a standardised opportunity to assess competency of practical skills.
(Some knowledge aspects of this competency and workplace confirmation of competency are embedded in tasks within the major assignment)
Purpose:
This unit is designed to ensure you can influence the decisions that impact the environmental performance of your organisation.
Background and individual familiarity with communicating thorough formal presentations:
Enrolment information indicated you needed a sound level of English language and communication proficiency. It is assumed you are familiar with verbal communication within your organisation or role (for example: making presentations, providing briefings, and delivering training).
Information on the topics at Appendix U and V and should be reviewed or read in detail as applicable depending on your own circumstances. Additional information can be obtained from individual research (for example You-tube).
It is suggested to note the guidance on PowerPoint (if you intend to use it) in Appendix U, and active listening in Appendix V. Remember this is a formal presentation at the level of a management forum (or to a dispersed management team via video conferencing). It Is not a toolbox meeting or staff-level briefing. If you are not clear on the requirement or confident to undertake this task please discuss your concerns with your trainer/assessor.
Your ability to actively listen is assessed as the presenter and as a member of the audience.
This not a test of how to use all the features in PowerPoint! You are discouraged from using an existing presentation as it may bring stress trying to modify it to meet this task. It is suggested you do not make this any more complicated than it needs to be - keep it simple and maintain direction.
Stages of the Activity:
The stages of the activity (and specific tasks) (All aspects will be assessed, and evidence recorded):
Agree a suitable environmental situation, topic, and objective with the assessor before making a detailed plan/preparation. If you cannot think of a suitable topic one will be assigned through discussion with the assessor. (Record this detail on your plan)
Develop a simple presentation plan, obtain, and organise information, develop speaker notes (provide the plan and a copy of the speaker notes to the assessor before the presentation)
Develop aids to support the presentation (not the other way around..) (Aids could be a plan/diagram, pictures, model, or sample (use something visual rather than text). You are encouraged to discuss this with the trainer to not spend too much time on this.(provide a copy or your aids to the assessor before the presentation)
Provide a brief introduction on the context and purpose of the presentation (max 1 min)
Present your presentation to the course as the simulated management team:
deliver the presentation and employ your materials/aids in accordance with your plan
complete the presentation within the time allocated (in 5 mins, + 1 min / - 30 secs)
Include a confirmation of understanding by asking the other participants (the management team) 2 planned questions requiring a response to confirm they understand a key point you have made to them
Respond to structured questions from the management team (the other participants) after you finish your presentation.
Demonstrate active listening by:
acknowledging and fully answering questions from the audience after delivering your presentation (assessed)
Responding to questions from the other presenters when they ask you to confirm your understanding during their presentations (not assessed)
ask a question to confirm an aspect of a presentation. you will be nominated at least once to ask a realistic and appropriate question to a presenter that will enhance you own understanding of that presentation. If you are nominated you will be advised before the presentation (relevance of your question to the presentation is assessed)
Self-evaluation and feedback: You will be debriefed individually outside the classroom/on-line group using an assessment form and one-to-one debrief. You will be asked to self-evaluate your presentation.
Reassessment (if needed): If aspects of the assessment are not met the relevant items will be reassessed as soon as practical.
Tip: to communicate with influence and to meet the time criteria, you must rehearse (use timer/stopwatch!). You will need to practice so you are not reading off slides or a full script but maintaining good eye contact with members of the management team (technology permitting). Notes for delivery:
Use this form as the template and type into it progressively save it and be ready to email it to the presenter with your own content
For the on-line/virtual course:
Practice with camera angle so that you are looking into the camera when presenting
We will discuss sharing images and slides via the communication software
Your presentation will be recorded and will be made available to you
