T2.1:As a first step, you should establish a team of four members.

T2.8:Team Meeting.

Conduct a short meeting with your team.

During the meeting:

all team members will discuss their findings & research work conducted for Task 2.6, Task 2.7 and Task 2.8

discuss the proposed improvements and strategies

team members should evaluate each improvement suggestion and strategy, to ensure if the required resources are available and the suggestion/ strategy is applicable

make necessary changes if any of the suggestion/ strategy is impractical

finalise the proposed improvements and strategies

obtain verbal agreement from each team member

check with each team member for their learning requirements, that could facilitate them in continuous improvement & innovation activities.

Record meeting discussions in Meeting Minutes Template. Attached the file as "Meeting Minutes T2.8".T2.9:Develop the Plan.

Using the information collated so far, develop Continuous Improvement Plan (section 1.0 to section 5.1).

in section 3.0 list each process/ system that should be part of continuous improvement (CI) or requires innovation AND list the proposed changes for each of them

using section 5.0 develop an action plan for implementing the proposed CI/ innovation

using section 5.1 of the template, conduct cost benefit analysis.

T2.10:Impact Management.

The action plan that you prepared as part of task T2.9, may have an impact on workers and current work conditions.Identify at least five impacts or consequences and develop strategies to address them. Record the details in section 6.0 of your Continuous Improvement Plan.

T2.11:Risk Management.

Identify at least five risks that may have an effect on implementation of your plan and develop strategies to mitigate them.

At least two of the risks should relate to non-performance.

Record the details in section 7.0 of your Continuous Improvement Plan.

T2.12:Implementation Report.

Assuming, your continuous management plan was approved, and the implementation commenced six months ago. The progress is being monitored on daily basis and reviewed every second month. To date, following is the status:

1 New competitor entering the market Sales & Marketing department is preparing a new marketing strategy and plan. This will be initiated when the new competitor

will commence their operation and will prove to be a threat to our business.

2 Issues raised in audit report An extensive staff training program has been launched; focusing on daily activities, processes and how to perform the tasks effectively.

Daily team meetings have been introduced, where day-to-day issues & progress are being discussed. Team Leaders have been authorised to take actions on all raised concerns. A new procedure has been introduced to assist the team leaders.

Fortnightly, toolbox talks have been implemented. Each fortnight is reserved for briefing and discussion on a company policy & its relevant procedures.

A feedback mechanism has been introduced. Workers are now able to forward their feedback anytime. Secretary to the CEO is responsible to action the feedback. All feedback forms are being processed within 24 hours.

HR Department is preparing a retention & career progression plan. This will include noticeable changes in wages, rosters, work allocations, facilities, as well as promotion opportunities. The plan is expected to be rolled out next month.

In-house maintenance department has been established. They will ensure safe function of each machinery/ equipment.

3 Material Waste and

Operational Expenses 5% reduction has been noted so far. Primarily due to improved

processes, well-targeted training and daily monitoring.

4 Profitability 2.7% increase in profits has been reported.

5 Injuries The training programs, daily meetings, toolbox talks, maintenance department, are expected to increase safety awareness and reduce the injuries.

Daily monitoring system has been implemented and will produce positive outcomes.

Please note: The information given above does not detail all challenges/ issues. You would need to read the information thoroughly and extract the status for each of them. You are allowed to make assumptions if required.

You are required to compile a detailed FORMAL report for the CEO (at least four pages including Page #1 as cover page, Page #2 as 'Table of Content' and Page #3 & #4 reserved for your content).

Your report should follow the guidelines provided in "Report Writing Instructions.pdf".

The report should narrate the issues & challenges company was encountering, how you addressed each issue, how you prepared the continuous improvement plan, how you consulted the stakeholders, how the plan was implemented, how you monitored the activities, how you evaluated the progress & results and what is the current status (as specified above). Essentially, this report is a narrative of all of your activities so far.

You should make at least three recommendations in the report.

Save the report as a separate file and submit it with your assessment.

T2.13:Brainstorming Session.

Assuming, despite of your team's efforts:

the finance department reported further decline in sales,

number of workplace injuries are still on the rise.

Conduct a brainstorming session with your team.

During the session:

discuss the information available so far

brainstorm the root causes of each of the issue

discuss and develop improvement strategies Record your findings below:

T2.14:Lessons Learned.

While working on any improvement plan, we may make mistakes or encounter issues / failures. This is part of the process.

All such mistakes/ issues/ experiences/ failures should be recorded in lessons learnt document. This document serves as a log for any similar projects in the future; and helps in avoiding similar mistakes.

Record all such mistakes/ issues/ failures in section 8.0 of your Continuous Improvement Plan.T2.15:Presentation.

You are required to develop & deliver a 10-minute presentation on your CI activities, to the senior management.

The presentation should cover the following points:

Summary of newly introduced continuous improvement (CI) & innovative systems

Total cost for each CI initiative

Benefits the organisation will gain from these initiatives

Summary of the achievements so far

Summary of the issues encountered

Summary of your actions to manage/ address the issues

Opportunities provided for staff learning & development

Reward system for CI & innovation contributors

How reward system works?

How CI systems & processes are being evaluated on daily basis?

How they are being captured/ stored in knowledge management system?

Seek feedback from the audience on your initiatives and how you are running the CI activities. Respond to the feedback, professionally and appropriately.
