Assessment overview The objective of this assessment is to assess your performance, skills and knowledge required to process attendee registrations for events and administer them through to finalisation.
It requires the ability to record customer information, monitor attendance numbers, generate sales and operational reports, and issue customer documents for event attendance. This unit is relevant to events coordinated in many industry contexts, including the tourism, hospitality, sport, cultural and community sectors.
Instructions for this assessment This is a project-based assessment and will be assessing you on your knowledge and performance requirements.
This assessment is in six (6) Parts:
Part 1 Prepare event registration scenario and three tasks
Part 2 Event registration four scenario questions
Part 3 Prepare event registration scenario and four tasks
Part 4 Audio discussions two role play tasks
Part 5 Collating your assessment documents for submission

It is important that you keep a copy of all electronic and hardcopy assessments submitted to TAFE and complete the Student Declaration when submitting the assessment.

Background Scenario
You have secured an internship working with the highly sought-after events agency, The Event Co.
The Event Co. is a leading events and live entertainment company with a specialised focus on conferencing, community events and festivals. The agency provides services across all event operations, fundraising, travel coordination and volunteer management. Please refer to SR1 The Event Co. Company Profile for information about the company.
Event Co. interns work across all areas of the events agency and are fully involved in many different types of events during their internship.
You are presently working under the close supervision of Jan Springer, Event Manager. Your role is to assist Jan to coordinate the event registration for two upcoming events.
Your key role is to process event registrations for all attendees.
Part 1 Prepare event registration
Scenario Morning Tea
Every year a local cancer charity hosts an annual community morning tea fundraiser. Held each May, the event raises funds for a local cancer charity. The event has an MC, guest speakers and auctions to raise money. This year the theme is Alice in Wonderland Tea Party and will be held at The Event Room.
The Event Room is a multi-function event venue ideal forconferences, community events and special occasion celebrations. The capacity of the Event Room will vary depending on the layout (see SR1 The Event Co. Company profilefor details).
As the event usually sells out in a few days, this year the event will be delivered as a hybrid format with attendees onsite and online participating in a virtual morning tea!
The charity will provide a discounted ticket for virtual attendees and will have a video wall that projects them into the live event space. Participation in an auction and other activities are available to virtual attendees.
You are to process and report on attendee registration for this event.
Your tasks include:
Enter attendee details
Attend to requests for changes to registrations
Confirm final registration numbers
Send confirmation of registrations to attendees.
Part 1 - Task 1: Prepare for event registration
Six attendees are unable to register automatically online. They have emailed their completed registration forms to The Event Co. (see SR5 The Event Co. Registration Form Morning Tea).
Instructions
You are to process these registrations manually (according to SR3 The Event Co. Event Registration Procedure section 2.1.1) and complete a confirmation letter for each attendee.
Note to student: As this is a mock scenario, you can presume points 1-4 of section 2.1.1 of the Event Registration Procedure has been completed. So, for this task, you will enter the attendees details at the same time as payment details (see Step 1.3 below).

You will also need to include information about waitlist options should delegates be considering changing their registration ticket type:
Please include the following information in your email to Rachel: According to our event registration procedure, should you wish to change your ticket type and the event is sold out, we will enter your name to a waitlist and will contact you should spaces become available.
Upon Rachels reply you are to update the missing information in the Event Registration Report.

Part 3 Create event registrations
Scenario Australian Luxury Destination Travel Expo
Jan Springer, Event Manager, has now asked you to assist with planning the Australian Luxury Destination Travel Expo. This event will be held at the Sydney Event Expo Centre and will have a range of speakers representing luxury brands in the Australian travel market.
The Expo will be held on the 16th of February next year, from 10am to 4pm.
Guest speakers include:
Jemma Jackson, CEO and Founder, Casa Luxury Hotels, Australasia
Joe Castillo, Business Development Manager, Levart Online (Online Travel Agent)
Emily Nguyen, Global General Manager, Cruiseluxe Australia

Part 3 - Task 1: Create an event registration
Jan has asked you to send out invitations to your industry contacts* asking them to confirm their attendance at the event. You must secure a minimum of six (6) confirmed attendees. For the purposes of this assessment, you will be using the Eventbrite event management and ticketing website to create the event, send the invitations, and monitor the registrations.
Instructions
You are to access Eventbrite and complete the event registration page.
Complete the instructions in the following Steps.
An example of what your Eventbrite page should look like and how you can export data to Excel can be found on the OLS, under the Resources tab. This document is called SR8 Example of an Eventbrite Registration Page and Attendee Report.
Important
*You can send the event information and registration link (URL) to your friends, family members, colleagues, or teachers. Explain to them that this event is created for assessment purposes only and request that they participate by clicking on the link to register.
For monitoring, there must be an interval in the times you send out your invitations. Evidence is required to show that you have monitored the progress of your registrations over a period of time.

Part 3 - Task 2: Send the Eventbrite registration link (URL) to your industry contacts*
You are to now send the Eventbrite registration link to your industry contacts*.
Instructions
Copy the event URL (registration link) from your event registration page and send to your industry contacts* (friends, family members, colleagues, and teachers) and ask them to register for the event. You can communicate this link by any means (private message, email, etc).
Ask them to participate in the registration of the event and advise them when they click on the link, they will be asked to provide the following details:
Their name
Their email address
Remind them this is for assessment purposes only and their details will remain confidential as your event is to remain private.
Remember you must secure a minimum of six (6) confirmed attendees. Evidence is required to show that you have monitored the progress of your registrations over a period of time (see TIP below). Your first report must show a different number of registrants to your final report.
TIP: send out your registration link to three (3) registrants on Day 1, and then send link again in daily intervals to the remaining three (3) registrants to ensure that you meet the monitoring requirements.

Step 2 Monitor your event registrations
2.1 Send out your registration link to three (3) registrants on Day 1, and then send link again in daily intervals to the remaining three (3) registrants via your selected private channel inviting them to register for your event.
2.2 Once your industry contacts* have registered on https://www.eventbrite.com they will receive their event registration confirmation by email.
2.3 To view and monitor your event registrations:

Click on Dashboard
Scroll down to find your list of attendees under Recent Orders.
Part 3 - Task 3: Complete the event registration report for three (3) of your attendees
You are to now complete the event registration report for the Travel Expo for THREE (3) of your attendees.

Update the Event Registration Report with details of three (3) of your attendees ALL TABS.

Part 4 Audio discussions

Read the Details below.
Complete the role play tasks (see requirements below). The role plays are to be completed with a friend or family member and digitally recorded and submitted as audio evidence.
You must:
Ensure you have access to the equipment and resources required to undertake the demonstrations
Follow the Video and Audio Recording Tips and Uploading Instructions located on the OLS under the Assessments tab
Provide an audio file for each demonstration meeting all requirements.
Task 1 - Role play 1: Record a discussion with an attendee
As part of the review process of registrations Jan has noted that one of the attendees has made a note that they have a special request.
You are required to phone the attendee and discuss what the special request is. Examples could include wheelchair assistance, preference for front row seating, etc. (NB: you choose one).
In the recording you must:
Advise your name and where you are calling from (The Event Co.)
Explain that you are calling to clarify the clients special requests for the upcoming Australian Luxury Destination Travel Expo
Advise that you will ensure that the special request will be noted.
Task 2 - Role play 2: Record a discussion with a colleague

Using the information gathered in Task 1 Role play 1 (above) you are required to phone your colleague Andy Singh, to confirm that the special request has been received.
In the recording you must:
Advise your name
Advise you are calling to confirm that the special request for the client has been received (for the upcoming Australian Luxury Destination Travel Expo.)
Ask Andy to confirm this special request by email (NB: Andy doesnt need to complete the email for the purpose of this task).

You are to play the role of the Event Co. intern and a friend/colleague or family member can play the part of the attendee (Task 1) and colleague (Task 2).
Approximate duration of each role play is 2-3mins.

Enter the information as provided to the Details, Description and Ticket tabs, and Publish your event.
Copy and paste the event URL link in your assessment.

Distribute your Event URL to your industry contacts* over a period of time via your selected private channels and invite them to register for your event.
View and monitor your event registrations.
Task 3_Step 3 Did you:
Monitor your event registrations under Recent Orders in Eventbrite.

Task 4_Step 4 Did you:
Refer to SR8 Example of an Eventbrite Registration Page & Attendee Report.
Export your progress report in Eventbrite to Excel.
SAVE DOCUMENT as Part 3 Task 4 Progress Report (Step 4.3). (This is your FINAL VERSION and you will need to upload this document with your completed assessment to the OLS).
Update all attendee information for all six (6) attendees in ALL TABS in the SR7 The Event Co. Event Registration Report Travel Expo.
SAVE DOCUMENT - SR7 The Event Co. Event Registration Report Travel Expo (Step 4.5). (This is your FINAL VERSION with ALL TABS completed and you will need to upload this document with your completed assessment to the OLS).
Write an email to Jan Springer using the email template provided within the assessment. Outline the final number of registrations you have received for the event and advise you are attaching your progress report (Step 4.6).
