This project requires you to choose a scenario in your organisation that requires you to present information to others and negotiate outcomes.
You will be creating a presentation to present information to two different groups of people at two separate meetings. One of the groups of people you choose to communicate to must be appropriate team members.
At these two meetings, you will present your presentation and adapt your communication to suit the audience at each meeting.
Vocational education and training is all about gaining and developing practical skills that are industry relevant and that can help you to succeed in your chosen career. For this reason, we are giving you the choice to base this project on your own business, one you work in or a familiar with, or you can use the case study provided. This will mean that you are applying your knowledge and skills in a relevant, practical and meaningful way to your own situation!
To complete this assessment, you must assume a senior role in your chosen business. This role should suit a manager or leader in the organisation who identifies, analyses and acts on information from a variety of sources. This role should also require initiative and judgement to deal with unpredictable problems and manage the work of self and others. Speak to your assessor to get approval if you want to base this on your own business or use the case study company provided in the simulation pack.
If you decide to select your own business or a business where you are working or are familiar with, you must have your business APPROVED by your assessor and submit the required business document which resembles the checklist below:

Meeting Policies and Procedures
It is important that you are able to access enough information for your chosen business in order to be able to do your assessment. As a minimum this should include:
organisational objectives
relevant policies/procedures that guide communication (e.g. Meeting policy and procedure)
a scenario that requires you to present information to and negotiate with two different groups of people.
Examples of scenarios may include:
changing the organisational structure and related job roles/descriptions
introducing a new product range
legislative changes
office relocation
introduction of artificial intelligence or robotic process automation
You will be collecting evidence for this unit in a Project Portfolio. The steps you need to take are outlined below.
Preparation
Make sure you are familiar with the organisation you are basing this assessment on and have read through the necessary background information. For the case study business, this is all of the documents included in the Simulation Pack. If its your own business or a business where you are working or are familiar with, have your business or case study (and supporting documentation/evaluation data) approved by your assessor.
Complete Page 4 of your Project Portfolio for this unit.
Read through the requirements of Section 1, 2 and 3 of your Project Portfolio.
Planning communication
Complete Section 1 of your Project Portfolio. To do this, you need to:
describe the organisation and its objectives.
choose and describe a scenario in your organisation that requires you to present information to others.
understand organisational and legal requirements
plan communication.
Make sure you have answered all questions in Section 1. Submit to your assessor for review.
You are also required to attach certain documents as part of your evidence review the documents you need to attach as outlined in Section 1 of the Project Portfolio and make sure you attach these when you submit this section.
You will use the work done in this section of the Portfolio to create a presentation and adapt it for two different audiences.
Preparing communication
Complete Section 2 of your Project Portfolio. To do this, you need to:
prepare a visual/written presentation to communicate your information to your two chosen audiences. As far as possible, use the same presentation for both meetings, but adjust them to suit the audience and purpose accordingly.
prepare any other additional meeting materials (e.g. Agenda, Survey, Feedback form etc.).
schedule the meetings.
Make sure you have answered all questions in Section 2. Submit to your assessor for review.
You are also required to attach certain documents as part of your evidence review the documents you need to attach as outlined in Section 2 of the Project Portfolio and make sure you attach these when you submit this section.
You will use the work done in this section of the Portfolio to meet separately with each of your chosen two audiences to present your presentation(s) and negotiate outcomes.
Presenting and negotiating.
Meet separately with each identified group to present your presentation(s) and negotiate outcomes. Adapt your communication to suit each audience (as planned in Section 1). The meeting must be conducted in presence of your assessor or you can record the meeting for your assessor to view later.

Each meeting should take 30 minutes.
This meeting may take place with actual people who work for/are associated with your chosen business. Alternatively, classmates or your assessor may play the role of one or more team members. This can either be viewed in person by your assessor or you may like to video record the session for your assessor to watch later. Your assessor can provide you with more details at this step. Make sure you follow the instructions above and meet the timeframes allocated. If this session is not viewed in person by your assessor, you will attach proof of the meeting to Section 2 of your Project Portfolio.
As you lead each meeting:
engage and motivate the meeting attendees
set the meeting objectives (seek consensus from all attendees)
contribute to discussions using appropriate language, tone, structure and style (make sure you use active listening and questioning to seek information).
provide an opportunity for the audience to ask questions (make sure you answer them clearly and concisely).
negotiate as planned, establish areas of common ground and compromise where applicable.
resolve conflict
seek feedback after the presentation about the meeting and negotiation (this may be in any appropriate format e.g. verbally, using an online survey or a printed questionnaire).
Complete Section 3 of your Project Portfolio. To do this:
create separate written documents on the outcomes of each meeting (i.e. one document per meeting).
distribute your two meeting summary documents to relevant meeting stakeholders (separately).
Evaluate your presentations using the feedback received at the meeting, including what you did well and how you can improve.
Submit your completed Project Portfolio
Make sure you have completed all sections of your Project Portfolio, answered all questions, provided enough detail as indicated and proofread for spelling and grammar as necessary. Remember to submit all necessary attachments as indicated to QIBAs LMS/Moodle.

It is important that you are able to access enough information for your chosen business in order to be able to do your assessment. If you are basing this assessment on the case study, refer to the Simulation pack for additional information.
If you are basing this assessment on your own business, make sure you have enough information available to:
delegate and support the work of two staff members (at least one staff member should have a diverse background, such as culture, gender or disability).
address two separate conflict situations (at least one conflict should involve ethical conduct).
monitor the outcomes of your conflict resolution efforts.
As a minimum your organisation must have policies and procedures that address diversity, ethical conduct, conflict management and workplace collaboration
You must present all the above information to your assessor and get approval before initiating the task if you decide to choose your organisation or the organisation you work for.
You will need to communicate with people who work for, or are involved, in this business or work area several times. It may be either directly with actual staff member (If using own business that has been approved by assessor) or fellow students/your assessor can play the roles of relevant people/parties. Communication can be in any appropriate format (e.g. face to face, video conference, email) as long as it meets the requirements outlined in the Project Portfolio.
You will be collecting evidence for this unit in a Project Portfolio. The steps you need to take are outlined below.
Preparation
Make sure you are familiar with the organisation you are basing this assessment on and have read through the necessary background information. For the case study business, this is all of the documents included in the Simulation Pack. If its your own business or a business where you are working or are familiar with, have your business or case study approved by your assessor.
Complete Page 4 of your Project Portfolio for this unit.
Read through the requirements of Section 1, 2 and 3 of your Project Portfolio.
Establish effective workplace relationship processes
You are now required to complete Section 1 of your Project Portfolio.
To complete Section 1, you need to:
describe your job role and explain:
how your job role takes responsibility for formulating, organising and implementing plans, processes and strategies.
how your job role applies the values and goals of your organisation.
summarise the legislative requirements relevant to managing and leading workplace relationships (legislation, regulations, codes and standards).
identify organisational requirements relevant to managing and leading workplace relationships (policies and procedures that address diversity, ethical conduct, conflict management and workplace collaboration)
develop processes that support workplace relationships (consultation, conflict management and escalation). Make sure you incorporate appropriate vocabulary, grammatical structure and conventions.
Manage effective workplace relationships
ii If you are basing this assessment on your own business, make sure you have enough information available to:
delegate and support the work of two staff members (at least one staff member should have a diverse background, such as culture, gender or disability).
address two separate conflict situations (at least one conflict should involve ethical conduct).

You are now required to complete Section 2 of your Project Portfolio.
To complete Section 2, you need to on two separate occasions:
delegate and confirm responsibility for fulfilling work tasks to at least two staff members. As you delegate tasks and confirm responsibilities, adapt your communication style to build trust and ensure positive working relationships.
follow diversity policies and procedures to support two staff members to achieve their work responsibilities.
follow the collaboration and consultation processes to seek employee input to identify work relationship issues. At least one workplace issue should involve the ethical conduct of a staff member.
follow conflict management and escalation processes to address the identified workplace relationship issues by:
providing feedback on the consultation processes
addressing the workplace issue
providing counselling, guidance support to assist the staff members overcome their relationship difficulties (and demonstrating your ability to motivate and engage others)
Make sure you have answered all questions in Sections 1 and 2. Submit to your assessor for review.
You are also required to attach certain documents as part of your evidence review the documents you need to attach as outlined in Section 1 and 2 of the Project Portfolio and make sure you attach these upon submission.
Monitor and review management of workplace relationships
ii If you are basing this assessment on your own business, make sure you have enough information available to monitor the outcomes of your efforts to address the workplace relationships.
If you are basing this assessment on the case study, refer to the Simulation pack for additional information.
You are now required to complete Section 3 of your Project Portfolio.
To complete Section 3, you need to on two separate occasions:
monitor the outcomes of your efforts to resolve workplace relationship issues.
communicate the outcomes of the conflict management for both identified workplace relationship issues to the relevant staff members
Seek and evaluate feedback from relevant staff members (at least two) on how you have managed the workplace relationships.
identify at least one area for improving future workplace relations leadership in your organisation.
Make sure you have answered all questions in Section 3.
You are also required to attach certain documents as part of your evidence review the documents you need to attach as outlined in Section 3 of the Project Portfolio and make sure you attach these upon submission.
Submit your completed Project Portfolio
Make sure you have completed all sections of your Project Portfolio, answered all questions, provided enough detail as indicated and proofread for spelling and grammar as necessary. Remember to submit all necessary attachments as indicated.
Submit to your assessor for marking via QIBAs LMS/Moodle.
