Part 2: Research emerging technologies

Analyse the information and data in the scenario to determine the client's problem, requirements and constraints.

As far as I concern the way Finbiz Consulting current working are too outdated. FinBiz consulting workplace need to improve workplace procedure and rearrange the working system .Firstly staff members cannot be work from home for two days per week , instead only some of employee such as who are in charge of networking and software development should be allow to work from home, however if the organization policy include network engineer to be in workplace then staff have to come to work everyday.

Secondly nowadays most of workplace dont use Waterfall methods for project management, this need to be improved as well. Moreover staff shouldnt be using spreadsheet for the IT support ticketing system .Staff should be working in corresponding department, depending on the role position their holding, no matter where the department locations are.

Communication is the key success to everything so all teams should be at least contact in the weeks day.

and lastly all staff members must be trained properly to have certain skills for their role in workplace as there might be new technology implementation to improve FinBiz consulting.

Analyse the key elements of three of the technologies and processes that the client currently uses, to ensure you understand them.

Water fall method

The waterfall method is a traditional project management approach, where tasks and phases are completed sequentially with all the work progress flowing in one direction, similar to a waterfall. In other words, the next project phase cant begin if the previous one isnt finished. Once that happens, theres no going back. This method is mostly used in the manufacturing and construction industries, where tasks had to be completed in a logical, linear manner on a daily basis, which finbiz consulting have been using until the new manager come. The waterfall method includes the following 5 sequential phases:

1. Gathering the requirements

2. Designing the framework

3. Implementing the solution

4. Testing for errors

5. Maintenance and updates.

These are some advantages of waterfall methods , example most of waterfall methods are straightforward, meaning that theyre easy to follow by all team members without requiring any previous training.

Also it does have disadvantages for example, Changes can be difficult and costly to implement and the team needs to review the entire project from the beginning, considering that phases are interconnected.

Ticketing System

Ticketing System help to process ,manage ,and track customer issues. Basically a ticketing system create a support to support customer needs. Nowadays most of the workplace use some kind of software ticketing to support customer where Finbiz consulting use spreadsheet for ticketing system to support customer .This could lead to left Finbiz consulting far behind to have success in future.

Use of multiple server

The use of multi server system in the business generally helps guarantee high performance and uptime, sustain security, and enables more efficient resource allocation .finbiz use on premise multiple server which is good but you might consider the financial team will not be able to maintain the high cost for everytime in the future.

3 . Use at least two critical thinking protocols or processes to identify the limitations of these three technologies and processes

Brainstorming: This critical thinking protocol can be used to identify the limitations of the waterfall method by brainstorming all of the potential limitations of the method . The waterfall method is a linear approach to software development that moves from one phase of the software development process to the next in a linear fashion. This means that the requirements gathering phase must be completed before the design phase can begin, and the design phase must be completed before the coding phase can begin, and so on. While this linear approach can be effective for some software development projects, it can also lead to problems.

One of the potential problems with the waterfall method is that it can be inflexible. If new information is discovered during the course of the project, it can be difficult to go back and make changes to earlier phases of the project. This can lead to a final

product that does not meet the needs of the customer. Another potential problem with the waterfall method is that it can be slow. The linear nature of the approach means that each phase of the project must be completed before the next phase can begin. This can lead to delays in the overall projects schedule. SWOT Analysis: This critical thinking protocol can be used to identify the limitations of the ticketing system by conducting a SWOT analysis of the system. In the context of a ticketing system, a SWOT analysis can be used to identify the potential limitations of the system. 4.Discuss your legal and regulatory responsibilities, and their implications, in proposing solutions for the client and how you will adhere to them

If we look water fall method from legal and responsibilities prespective point of view it is very inflexible which mean staff may not be able to sustain the project in time to meet their needs or cannot make changes after finishing one phase after another. This may go against Gelos workplace policies and procedures and will have serious issue for using this method .The use of multiple server on premise can be result in a high use of electrical energy ,and water as well ,in order to maintain the servers. All the server need to be in a really cold room which we know as data centre to prevent the heats coming out from servers.

But this may have effect on environment in someway and more over to sustain all that ----Finbinz consulting will have to spend lots of money for data centre and which is not good for future.

Scenario

You work as an ICT Technician for Gelos Enterprises (Gelos). Your current manager, Madison Mathews (ICT Support Senior Manager) asked you to develop a proposal for Gelos to work with another organisation, FinBiz Consulting. You presented your draft proposal to the client (in the first Project assessment) and will now develop strategies to finalise the proposal.

Information about the client organisation is contained in theresource folder(Cl_ICTAnalysis_AE_Pro_Appx.zip), provided in Project 1.

Part 1: Develop strategies

Complete your proposal by developing strategies and the organisational response. These must help the client organisation prepare for the implementation of the recommended emerging technologies and practices.

You must also incorporate the feedback and new information you received during the presentation of the draft proposal (in the first Project Assessment).

Ensure that your writing is clear and appropriate to your audience.

Address the following headings and content in a copy of your draft proposal document:

Implementation strategies

For each of the three technologies and three practices that you proposed, complete the following:

Define the objectives of the organisation in responding to the technology/practice.

Develop the strategies that the organisation will need to implement to prepare for the emerging technology/practice, including the following:

Identify the changes required to the organisations current technologies and practices to achieve the related objectives.

Outline how the impact, opportunities and threats that you previously identified in your draft proposal will be addressed.

Develop a plan with ordered and prioritised tasks indicating how to effectively implement the changes required within the agreed timelines.

Recommendations

Outline your recommendations for the organisational response for each emerging technology and practice. Include your reasons and how the organisations objectives will be met.

Version control

Include a version table with a summary of how the received feedback was incorporated (see the Records Management Procedure (GE_Records-Management_procedure.pdf)).

Submit the following for Part 1:

Proposal.

Part 2: Present strategies

You will participate in a role play, which will be observed by your Teacher/Assessor or can be digitally recorded and submitted as evidence.

Your demonstration will be used as part of the overall evidence requirements of the unit.

You should refer to the list of criteria provided in the Observation Checklist to understand what skills you need to demonstrate in this section of the assessment. This Checklist outlines the Performance Criteria, Performance Evidence and Assessment Conditions your Teacher/Assessor will be marking you on.

The scenario

As the ICT Technician, you need to meet with a representative from the client organisation and the Gelos ICT Support Senior Manager to present the strategies and obtain feedback.

Before participating in this role play, make sure that you have completed your proposal and are prepared with questions to ask the client.

Role of the student being assessed

During the role play make sure that you use clear, simple language and plain English.

Include the following in your role play:

Present and discuss the strategies and organisational response in the second version of your proposal.

Ask for and obtain feedback on your strategies and organisational response, as well as on your work performance.

Confirm that the client requirements have been met to resolve their problem.

Role of the people in supporting roles

Ask colleagues or other students to act in the supporting roles. Make sure they have the scenario instructions to work from. Ensure there is enough information so that they can effectively contribute to the demonstration.

These people will act as the representative from the client organisation and the manager. They must be prepared to provide feedback on the proposal.

The feedback will depend on the strategies however it must be something that can be incorporated into the next version of the proposal. This should be minor feedback that does not require major rewriting of the proposal. Feedback may include:

suggesting additional changes that have not been identified

suggestions for adding or changing tasks, or their individual timeframes, in the implementation plan

making sure that all impacts have been addressed.

The ICT Support Senior Manager must also provide feedback on the ICT Technician's performance, which should provide an opportunity for improvement. This may include feedback on any skills used in Project 1 and 2, such as research, presenting or report writing.

Time allowed

The role play should take approximately 10-15 minutes to complete.

Part 3: Finalise and review

Task 1

Finalise your proposal by responding to and incorporating the relevant feedback you received in your final presentation (in Part 2). Make sure you update the version table with a summary of how the received feedback was incorporated.

Task 2

In the meeting, your manager gave you some feedback on your performance in this project. You will need to perform a post-performance review to help you in developing a critical thinking mindset. Complete the following activities in a word-processed document:

Review and assess your performance during the project.

Reflect on and evaluate the effectiveness of your decision making you might consider asking yourself some questions:

What worked, what didnt work and why?

What would you do differently next time?

Consider how you expressed your personal values, the way you behaved and any assumptions you made what effect might this have had on people you interacted with?

Identify the areas where you can develop further by incorporating the feedback you received (in Part 2) and your self-reflection (in 1a and 1b above).

Develop a plan for improving your performance on any future evaluations of workplace processes. Identify at least three activities to improve your professional development (both skills and knowledge) in the areas you identified above (in 1c) and how you would undertake them.

Part 2: Research emerging technologies

You will need to prepare for writing your proposal by analysing and researching relevant information. Create a word-processed planning document, addressing the following headings and content:

Requirements

Analyse the information and data in the scenario to determine the client's problem, requirements and constraints.

Go through the scenario and analyse it from problem/s perspective what you see as the problems in FinBiz Consulting

Analyse the key elements of three of the technologies and processes that the client currently uses, to ensure you understand them.

Pick 3 technologies and processes (practices) currently in use you can think of Waterfall, ticketing system, multiple servers and whatever else you can think of.

Use at least two critical thinking protocols or processes to identify the limitations of

these three technologies and processes.

You decide which critical thinking approaches to use in order to analyse and identify th limitations of what you have chose in No. 2 above.

Discuss your legal and regulatory responsibilities, and their implications, in proposing solutions for the client and how you will adhere to them.

Whichever points you picked in 2 above, will need to be resolved. What sort of legal responsibilities might come in play? Think from WHS, Privacy and Sustainability perspective.

Research

Create at least five questions to ask yourself, which will guide your research and analysis.

This is an important step as you are asking questions yourself. Critical thinking process starts with self-questioning. You need to create 5 questions that you ask yourself to set directions for your research. For example: think about waterfall method and a question can be: This surely is not the best method for their project management: what can be the alternatives to waterfall? May be, this, that or?

Which of the ones I am looking at, can be the best choice for their type business?

Research relevant emerging technologies and practices in the information technology industry to identify possible solutions to the client's issues. Your research sources must be from a range of reputable and verified complex and technical information, including diagrams. You must include a minimum of five research sources.

Include your research sources in an annotated bibliography, using applicable features and functions of your word processing software (such as the Citations & Bibliography tools in Microsoft Word). Use either the Harvard or APA reference style.

Summarise each information source and evaluate the reliability of the information against the following criteria (150 words for each information source):

The author's background

The intended audience and purpose

The date of publication.

Decision making

Compare and contrast two different critical thinking concepts/approaches that you could use to make decisions for this proposal. Include descriptions of the key features/characteristics of the concepts/approaches.

Use a decision-making framework, according to the ICT Governance Policy, to:

evaluate and challenge your ideas

use and respond to different perspectives

select three technologies and three practices as the optimal solutions for your proposal.

Communication

Develop a basic stakeholder communication plan for the project. Include at least three important communication exchanges that will be used (in Projects 1 and 2), identifying the stakeholder/audience, the purpose of the communication and the appropriate channel, format and tone to use. This can be in a table like the one below:

Part 3: Prepare draft proposal

Using the information from your planning document (from Part 2), write a draft proposal outlining your advice for the client.

This proposal will be read by a broad range of stakeholders, both in the client organisation and Gelos; you must write clearly and ensure that the content, format and tone is appropriate to your audience to achieve its purpose (refer to your communication plan from Part 2 Task 1).

Use the Gelos report template (GE_Report-template.dotx) and address the following headings and content in your draft proposal: (1200-1800 words).

Overview

Summarise the client's problem, requirements and constraints (as previously identified).

Proposed solution

Evaluate and assess the three technologies and three practices that you selected from your research.

For each technology and practice you are proposing, complete the following:

Identify and evaluate its purpose, functions, features/attributes and potential application/s within the organisation, including the advantages and disadvantages.

Assess its potential impact on the organisations current technology or practice, including the potential opportunities and threats.

Submit the following for Part 3:

Draft proposal.

Part 4: Present draft proposal

You will participate in a role play, which will be observed by your Teacher/Assessor or can be digitally recorded and submitted as evidence.Your demonstration will be used as part of the overall evidence requirements of the unit.

You should refer to the list of criteria provided in the Observation Checklist to understand what skills you need to demonstrate in this section of the assessment. This Checklist outlines the Performance Criteria, Performance Evidence and Assessment Conditions your Teacher/Assessor will be marking you on.

The scenario

As the ICT Technician, you need to meet with a representative from the client organisation and your manager to present the draft proposal and obtain feedback.

Before participating in this role play, make sure that you have completed your draft proposal and are prepared with questions to ask the client.

Role of the student being assessed

During the role play make sure that you:

use:

clear, simple language and plain English to provide precise advice

appropriate conventions, protocols and tone for your audience.

listening and inclusive questioning techniques

look for ways to establish connections with diverse stakeholders

demonstrate advanced presentation skills (you may choose to present the information in a brief PowerPoint presentation or just have a discussion, however you must ensure that you focus on the key points).

Include the following in your role play:

Present your draft proposal clearly and persuasively to the stakeholders, including:

an overview of the client requirements and constraints

discussing and justifying the decisions you made, including comparisons of at least two alternative technologies/practices from your research.

Collaborate with the stakeholders to seek their advice and obtain feedback on your draft proposal and impact assessment.

Ensure there are opportunities to discuss ideas and opinions.

Confirm any additional information with the client.

Take note of the feedback and additional information provided by the stakeholders; you will need to incorporate this into the next version of your proposal (in the second Project Assessment).

Role of the people in supporting roles

Ask colleagues or other students to act in the supporting roles. Make sure they have the scenario instructions to work from. Ensure there is enough information so that they can effectively contribute to the role play.

These people will act as the representative from the client organisation and the manager. They must be prepared to contribute to the discussion and provide advice and feedback on the draft proposal. The advice and feedback will depend on the nature and impact of the technology being proposed, however it must be something that can be incorporated into the next version of the proposal; for example, if some important points have not been included in the impact.

The client must provide some additional information the implementation timeframe needs to be shorter (18 months instead of two years).

Time allowed

The role play should take approximately 15-20 minutes to complete.

Observation Checklist

The Observation Checklist will be used by your Teacher/Assessor to mark your performance in Part 4. Use this Checklist to understand what skills you need to demonstrate in the role play. The Checklist lists the assessment criteria used to determine whether you have successfully completed this assessment event. All the criteria must be met. Your demonstration will be used as part of the overall evidence requirements of the unit. The Teacher/Assessor may ask questions while the demonstration is taking place or if appropriate directly after the task/activity has been completed.
