CASE STUDY
A new client is an office support business that is being established in town at Shop 4, 24 Fortune Street, Newtown, QLD, 4688. The client, LMM Office Support, is only a small business currently employs 7 staff members. Each staff member works 5 day a week from Monday to Friday and require their own PC. The personnel consist of:
Office manager (Jenny Howe), who takes care of the day-to-day operations of the business, including bookkeeping and wages,
Receptionist (Amanda Bennett),
5 office administration workers (Carla Dawn, Ethan French, Glenda Manning, Norman Pearson, and Rebecca Smith).
The client is moving into an existing office facility that has already been cabled for networking. During a meeting with the office manager, Jenny Howe, the following has been established:
The business supplies the local office industry with support services in word processing and spread sheet work. Nearly 100% of their work is received and completed in the Microsoft format, so the latest Microsoft Office suite will be required on all computers.
The receptionist will require Microsoft Publisher for the general advertising and flyers.
The office manager requires MYOB accounting software with payroll included.
The ability to share each others files from a central point, except for the bookkeeping and wages, which the office manager will only have access to.
Access to the internet from all computers. The client has already obtained a NBN service through a national ISP with a 100Mbps fibre to the building (FTTB) connection, the ISP has also supplied the NBN router. The DNS setting supplied are: 8.8.8.8 and 8.8.4.4.
The office manager currently has a Dell Vostro 15 notebook with the latest wireless network technology that they use for taking notes when out with clients and would like to have it also connected to any future network. The notebook has the latest generation Intel i5 processor, 16Gbyte of RAM, and a 500Gbyte SSD.
Email access at work and at home has been already established using a Microsoft Hotmail Business account. All emails are accessed via the web.
They would like to have a network that provides good security.
A good quality colour printer for the reports and a standard mono printer for all general documentation. Both need to be accessible over the network. They envisage printing to be approximately 4,000 pages per month on the colour printer, and 8,000 pages on the mono printer. The colour printer also needs to be able to scan, copy and fax.
The envisaged data created will be approximately 800Gbyte over the next 3 years. This data needs to be backed up regularly.
The office they are moving into has had Cat6 cabling installed at the required locations and all cabling terminates to a patch panel in a wall mounted 6U cabinet in a small, air-conditioned room that will be used only as the server room. The installation has been done by licenced network business. (See Appendix 2)

WARRANTIES
(The below information is a guide only and will differ from vendor to vendor)
All hardware warranties are based upon the authorised Australian distributor manufacturers warranties.
Server and Workstation3-year on-site parts and labour warranty by vendors name. Warranty consists of client registering a fault report which will be enacted upon within 8 work hours during a normal work week. The fault will be repaired on site and if item cannot be repaired a substitute item will be supplied while awaiting replacement or repair. On-site warranty covers sites within a 50-kilometre travel distance from the premises of Latrobe Valley Computers. Sites outside the designated travel distance would attract a travel fee based on $66 per hour from outside the designated 75-kilometre travel distance. Warranty covers hardware failure only. Any loss, or corruption of data is not covered by the warranty and will be the responsibility of the client to keep up to date backups of all appropriate data. Restoration of all software and data will be on the onus of the client.
Printer1-year next day on-site parts and labour warranty by vendors name. A 3-year next day on-site warranty by vendors name is available for an additional $xx.00 per unit.

The above schedule and text will differ from project to project. Please make sure you cover all daily and weekly requirements for the project and add additional lines where required. To show when items are scheduled for a day, or even a week, use shading of different colours so as to make sure the client can differentiate each area with ease. Multiple items can be done simultaneously, and please be conservative with your timeline.

Contingencies
In this section you need to explain to the client of any problems that may occur that are normally not our organisations fault, such as a hardware item going out of stock when the order is placed. Another problem could be with the ISP or information to link into a mail server. These things do occur, and you need to provide contingencies until the problem is rectified.
As part of our goods and services we must rely on other organisation to supply the specified goods and information for configuring the required services. The following are items that our organisation has identified as areas where disruption in supply of goods and services have a higher-than-normal level of incidents. Our organisation will provide contingencies where we can, and where is practical.

The client has been impressed with the work and guidance you have provided to them so far and is eager to forge ahead with obtaining their new IT infrastructure (one that suits the software that they want to use and the security and reliability that would be expected from a company in the industry they service).
Your task is to download the quotation template (ICTSAS310_quotation_template.docx) and create a new quotation document called "ICTSAS310_AT2_Part1__yourname.docx" to cover the minimum following items:

6.2.Advise the client when would be the best time to install the infrastructure on-site as to minimise the disruptions to the client.
6.3.List any contingencies that could affect the installation plan, such as goods not in stock at a supplier and how you would overcome this.
6.4.Provide a network schematic showing all devices, settings, and naming convention.
6.5.Also, verify that the cabling has been done to the Australian standard. You must ascertain this by examining the documentation supplied in the case study.
7.Acceptance sheet:
7.1.The acceptance page needs to show an area where the client and the representative from IT Support can sign.
7.2.You also need to use a statement that the client has given your organisation clearance to work on the site and that your organisation will abide by all Australian laws relating to privacy.
8.Present final documentation to your client (teacher / supervisor) for sign off.
